MR Translation Privacy Notice

WHO I AM 
My name is Michael Robson and I work as a freelance translator in the United Kingdom. You may contact me in my capacity as the data controller through my contact form or at michael@mrtranslation.co.uk 

I am committed to maintaining the trust and confidence of visitors to my website, my clients, colleagues and suppliers. This Privacy Notice outlines when and why I collect personal data, how I use it, the limited conditions under which I may disclose it to others, and how I keep it secure.

I process personal data in accordance with the EUROPEAN GENERAL DATA PROTECTION REGULATION (EU) 2016/679.

WHY I PROCESS YOUR PERSONAL DATA 
I collect, store and use your personal data to issue a quote, to provide a translation or other translation-related services such as editing or proofreading that you request, or to comply with legal requirements. Personal data collected may include your name, address, e-mail address, telephone number and ID or tax number. Personal data may also include special categories such as health information, but only if you send this data to me for the specific purpose of translating it.

I do not use your personal data for marketing purposes. 

LEGAL GROUNDS 
The legal basis for the processing of your personal data is to perform the services you have requested, or to take any necessary steps prior to performing the request (“performance of a contract”). This basis also applies if you provide me with a service.
 
The legal basis for the processing of special categories of personal data such as health information is your explicit consent for me to translate, revise or edit that information (“consent”).

WHO ELSE RECEIVES YOUR PERSONAL DATA 
If revision or editing by a second qualified translator is requested, I will anonymise any personal data within the text so that your identity is not disclosed. The colleague may be asked to sign a confidentiality agreement, if necessary.

For administrative purposes, other parties, including the providers of my cloud backup, website and e-mail hosting services, may have access to your personal data. All these parties are compliant with the EU General Data Protection Regulation, or in the case of US companies, are self-certified under the US Privacy Shield framework.

HOW LONG I KEEP YOUR PERSONAL DATA 
  • For quotes with no further action performed, I delete all personal data after six months.
  • For services rendered, I keep personal data for seven years to comply with tax obligations. If the personal data is embedded in a translation, I keep it for up to ten years to preserve the integrity of my personal translation resources.
  • For services received, I keep your personal data for seven years for administrative purposes.
  • I delete all e-mail communications after seven years.
NOTE ABOUT COOKIES 
Cookies are small data files created by a website and stored on your computer or mobile device. I use cookies on my website to analyse user traffic and to let you complete the contact form.

SECURITY MEASURES
I take reasonable precautionary measures to guarantee that your personal data is stored safely. The equipment used for storing and processing personal data is updated as frequently as possible. Anti-virus software is installed and regularly updated on the equipment used for storing and processing personal data, to prevent the theft or destruction of this information. Firewalls are in place on all devices used for storing or processing personal data, to avoid remote unlawful third-party access. Personal data is periodically backed up on a device other than that used on a day-to-day basis. The copy is stored in a secure place, separate from the computer containing the original files, so that personal data can be recovered in the event of loss or damage. All electronic systems in use for storing or processing personal data are password-protected.

YOUR DATA ACCESS RIGHTS 
You may contact me at any time to request a copy, correction or deletion of your personal data. I will take action without undue delay and in any event within 30 days of receipt of the request.

YOUR RIGHT TO LODGE A COMPLAINT 
Should you have any concerns about how I process your personal data, please contact me. You also have the right to lodge a complaint with the supervisory authority in the United Kingdom or in the country where you live.

This Privacy Notice was updated in July 2018. I will review and update it as necessary.
